Project Portfolio Management for Digital Transformation

How to successfully manage projects in times of virtual collaboration.


HANSA-HEEMANN AG is a manufacturer and supplier of mineral water and soft drinks based in Rellingen.

Production takes place throughout Germany via the production plants. The products are marketed nationally and internationally through the traditional distribution channels, i.e., food retailers, beverage wholesalers, and the food service industry. Mineral waters and soft drinks of various types and in different container sizes are produced and sold under retail and private labels. HANSA-HEEMANN has been a Refresco Group company since February 2022.

Establishment of project portfolio management for digitization projects

Before the start of the pandemic, Hansa Heemann had already set up a project portfolio to manage digital transformation projects. The projects support the goal of further digitizing and automating existing processes in the plants in order to leverage potential benefits and increase the job satisfaction of those involved in the process. With the onset of the pandemic, the company faced the challenge of keeping the projects on track and enabling decentralized collaboration and control.

Special challenge

In joint online sessions, the new approach for optimizing and managing the portfolio and for planning and implementing the projects was designed. The process and methodology were then presented to the Executive Board, project management and portfolio management, who were already working from distributed locations, in a virtual kick-off. Further support was also provided virtually, e.g. via prioritization workshops, project kick-offs, resource planning meetings and project status meetings.

Our Contribution

HoPM supported Hansa Heemann in transferring the project portfolio management process into a working environment that optimally supports this objective. MS Teams was used with the apps Planner, Wiki and One Note. The project portfolio management including project prioritization as well as resource planning was implemented in MS Teams. A working environment was created for the individual projects, which work both classically and agilely.
